JOB DESCRIPTION
Responsibilities:
- Provide general, confidential, operational and administrative support to The Chairman and/or Managing Director in an accurate and flexible manner.
- Managing schedules by maintaining calendars, arranging meetings and travel arrangement and etc.
- Ensure the smooth operations of the Management Office through the coordination and flow of information to and from various sources including mails, couriers, emails, interoffice, phone, etc
- To maintain strict confidentiality and interact professionally with all levels of management, staff, business and regulatory associates.
- To execute secretarial duties including minutes taking, attending to visitors and handling day to day operational matters of the Management Office.
- Coordinate and compilation of meeting presentation reports such as Board, Group, Management and other Committee meetings etc.
- To organize and manage confidential documents, records and maintain systematic filing for smooth record retrieving for industrial correspondence such as BNM, MNRB, PIAM, ISM, FMB, NUCW etc.
- Liaison person between MD with HRBP on HR matters such as requisition, interview, recruitment related documents, onboarding and for staff: records/reports/trainings/movement tracking etc.
- Work closely with all the Department Heads to achieve greater operational efficiency to facilitate effective communication and follow up matters from (and to) Management Office.
- Relieve MD’s secretary during her absence or on leave.
- To undertake other special assignment, ad-hoc functions and related duties specified by the Management.
Requirements:
- Possess at least Diploma in Secretarial Studies or equivalent
- 3 to 5 years working experience as Personal Assistant / Secretary
- Good command of English and Bahasa Malaysia, both verbal and written.
- Excellent interpersonal skill with high enthusiasm
- Proficient in MS Office applications
