JOB DESCRIPTION
Primary Objectives:
- Provide high quality secretarial, administrative and information research support under tight deadlines
- Assist the immediate supervisor with day to day office work supporting the team and by assuming responsibility for the key administrative tasks and by using personal initiative to ensure the smooth operation of the team. Offering support for ad hoc projects and presentation preparations
- Operate as a key team member through initiative and developing an understanding of the business and its issues, is able to follow up on action points and information flow
- Keeping the immediate supervisor updated about the recent updates such as emails, letters and information of similar nature and reply letters when necessary
Key Responsibilities:
- Managing all aspects of a complex calendar: prioritize meetings according to the level of importance, coordinate full range of meeting, event and travel arrangement, provide agenda / supporting documents for all meetings
- Act as a gatekeeper yet ensure deadlines are being met
- Take dictations and minutes during meeting
- Ensure follow up actions from meetings are completed
- Communicate effectively with senior executives
- Conserve immediate supervisor's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
- Compose, produce, edit & proof-reads, reformat and distributes correspondence, presentations and report
- Screen phone calls and visitors, resolve inquiries and requests
- Update organizational charts / staff movements; and providing support as needed to a larger functional team
- Coordinate and plan logistics for special events (within the division / cross-division)
- Photocopy and maintain filing system
- Other duties as assigned by the immediate supervisor
Job Requirements:
- Candidate must possess at least a Diploma in Secretarial Course or equivalent
- At least 3 - 4 year(s) of working experience in the related field is required for this position
- Possess a mature personality, pleasant disposition, initiative and able to interact with individuals at all levels
- Ability to take on initiative, follow-through on requests until completion
- Self-motivated with strong analytical and communications skills (written and oral)
- Able to effectively respond to shifting and changing priorities of a complex nature
- Ability to deal with highly sensitive and confidential matters
- Must be comfortable with ambiguity and be resourceful to source for solutions
- Intermediate to advance level Microsoft Outlook, Word, Excel, and PowerPoint
- Highly organized
